GUIDELINES FOR ORAL PRESENTATIONS

 

PowerPoint Presentations – General

  1. Presentations may only be submitted as PowerPoint or PDF presentations. No other audio-visual layout (e.g., slide, video, or overhead) or software is allowed.

  2. Prepare your presentation as a single file to run on PC, as a Microsoft Office PowerPoint presentation format file. Save your file as a normal PowerPoint file (.pptx). Do not save your file as a PowerPoint Show (.ppsx) file. For security reasons, we cannot accept macro-enabled files (.pptm or ppsm).

  3. All presentations must run on  Windows operating system. Conference computers will run on at least Windows 7. Please create your presentation in PowerPoint for Windows. it If you  use PowerPoint for Mac please test it on a Windows computer before submitting.

  4. Bring your presentation to the conference on a USB media storage device. As an additional backup measure, consider saving an extra copy of your presentation on your web-accessible local server or email the file to yourself (if the file size is small enough).

  5. Conference organizers will load all presentations on conference computers. Presenters will NOT be allowed to use their own laptop computer. Apple computers will NOT be available.

  6. Remember your presentation is limited to 5 minutes plus 2 minutes for questions.

 

Advice on Production of PowerPoint Graphics

  1. Keep visual aids simple. Convey only one idea per table, figure, or title slide. Figures from publications, theses, or dissertations normally do not make good PowerPoint slides. Too much detail detracts from the primary message of the slide. Use appropriate blank space.

  2. Slides should be readable to the unaided eye. You will be speaking in a large room. Text on title slides should be restricted to 7 lines. BIG IS BEAUTIFUL and easy to read.

  3. Simple typefaces are preferable to fancy fonts. Bold type may be effective on title slides.

  4. Slides of scenes or organisms should clearly show what you want the audience to see.

 

Advice on Production of PowerPoint Presentations

  1. The presentation MUST be in widescreen 16:9 ratio because that is the size of the projector screens. This can be changed in PowerPoint by changing the Slide Size on the Design ribbon. Review each slide as you may need to adjust text around graphics or font sizes after resizing.

  2. Use Arial or Times New Roman fonts for all slides. This is to prevent problems with incorrect font/character substitution that occurs when presentations are prepared in fonts not available on the conference computers. Please note if you embed a non-standard font, there is a chance you will not be able to edit your presentation on the computers in the Speaker Preview room.

  3. Keep your presentation as simple as possible to avoid hardware or software conflicts. Audio and video files, animated text, slide transitions, animated figures, superscripts, and subscripts cause most of the problems. If you must embed video files, .mpg, .mpeg, or .wmv formats are more likely to be compatible. Other formats may not play properly.   4. Complicated presentations may not display the same way on the conference computer as on your own computer. If at all possible, review your presentation on the conference computer in the speaker preview-in room prior to your talk.

 

At the venue

  1. Register upon arrival at the conference.

  2. Download your presentation in the speaker preview room at least 24 hours prior to your session. The speaker preview room will have all of the necessary equipment for viewing your previously submitted PowerPoint presentation.

  3. Arrive at your session 30 minutes prior to the beginning of the SESSION (not your presentation). Meet the session moderator and audio-visual volunteer. Become familiar with the room and with the operation of the ‘forward’ button for your PowerPoint presentation, do not use return to advance slides.

 

GUIDELINES FOR PAPER POSTER PRESENTATIONS

Abstracts selected for Poster Presentation must be presented as a paper visual display of the research.

Important information: Please note the EAHM cannot be held responsible for posters displayed or left in the Poster area or in the Congress centre. 

 

Dimensions of your poster

  • Portrait Orientation

  • A0 Poster size 

 

Presentation Details

  1. Posters must be assembled on September 27, from 08:30 to 09:00 

  2. Presenters are asked to be available at their posters during scheduled their assigned refreshment breaks to discuss their posters with interested viewers, but can attend their poster at other times as well.

  3. Poster boards will be numbered. Presenters should attach their posters to the board number corresponding to the number assigned to their posters in the final program.

 

Poster Specifications

  1. Posters must be designed with Portrait orientation and A0 size.  The board will be the only support device available. Tables, easels, or other support devices will not be provided and may not be supplied by presenters. Business cards or small leaflet literature for distribution may be inserted in an envelope and affixed to the board.

  2. Posters may be attached to the boards by push pins, velcro or tape.

  3. Posters may be prepared as a single poster.

 

Advice on Production of Posters

  1. Keep text brief. Report only key aspects of each section. It is not advisable to display the entire text from a manuscript. Too much detail detracts from the primary message of the text.

  2. Keep figures simple. Convey only one idea per figure, table, or photograph. Figures from publications, theses, or dissertations normally do not make good visuals. Too much detail detracts from the primary message of the figure.

  3. Text and figures should be readable to someone standing at a distance of 1,83m. Adjust font and image sizes accordingly. BIG IS BEAUTIFUL and easy to read.

  4. Photographs should clearly show what you want the audience to see.

  5. Use appropriate blank space between words, sections, and figures.

  6. Use appropriate and compatible colors for fonts, backgrounds, graphics, and matting. White backgrounds generally are best for text.

  7. Simple typefaces are preferable to fancy fonts. Bold type may be effective on headings.

 Only vertical posters are allowed. 
 

At the venue

  1. Register upon arrival at the conference.

  2. Arrive at your session with time to attach the poster to the board. 

  3. Don´t forget to bring your poster :)
